Is Zoho Free? Which Zoho Apps Have Free Plans (and when you'll outgrow them)

Phoebe Marshall

The short answer

Yes, a lot of Zoho is genuinely free. Zoho CRM, Zoho Books, Zoho Invoice, Zoho Desk, Zoho Projects, Zoho Forms and several other apps have forever-free plans that don't expire and don't need a credit card. But each one comes with limits on users, volume or features, and most growing businesses hit at least one of those limits within their first year.

It's worth separating two things Zoho offers:

  • Free plans are permanent. You can stay on them as long as you fit within the limits.
  • Free trials give you full access to a paid plan for a set period, usually 14 or 15 days, after which you either subscribe or drop back to the free plan (where one exists).

  • This guide covers the popular Zoho apps with free plans, what you actually get on each, and the signs it's time to upgrade. One thing Zoho doesn't advertise loudly: free plans can differ by region, so a free plan available in the US isn't always available to an Australian account.

Zoho free plans at a glance

These are the most popular Zoho apps with forever-free plans and the limits that matter most. Limits change regularly, so treat this as a guide and confirm on Zoho's pricing page before you sign up.

App by app: how far does free get you?

       Zoho CRM

    Zoho CRM logo

How far you'll get: Zoho CRM's free edition covers up to 3 users and up to 5,000 records in total across leads, contacts, accounts, deals and activities. You get contact and deal management, follow-up reminders, up to 10 custom email templates, standard reports, one web form each for leads and contacts, the mobile app and 5,000 API calls a day. There's some workflow automation too, but it's basic: up to 5 active rules per module, limited to creating tasks and sending email alerts to CRM users. For a sole trader, small or new teams tracking leads and deals, the free edition is a genuine option to consider.

    You've outgrown it when:

  • You hit 5,000 records. Every logged call, task and meeting counts towards the cap alongside contacts and deals, so an active team can reach it sooner than expected. The Standard subscription lifts the limit to 100,000.
  • You need to capture your own data. Free has no custom fields or custom modules, so you're limited to Zoho's standard fields. For most businesses, this is the first real friction point, well before the user cap.

  • You want CRM connected to Zoho Books. The Zoho Finance integration (Books, Invoice, Expense, Inventory and Billing) starts at the Professional edition, not Standard.

  • You need more of the basics. A fourth user, custom reports and dashboards, multiple pipelines, more than one web form, multi-currency and sales forecasting all start at Standard.

  • Security is worth considering too. Free includes only 2 roles and 2 profiles, with no audit logs, field-level security or included data backups. See Zoho CRM feature comparison.

    Bigin by Zoho CRM

    Bigin logo

How far you'll get: Bigin is Zoho's lighter, pipeline-first CRM. The free plan is for a single user and stores up to 500 records, where contacts, companies, pipeline records, activities, products and notes all count towards the total (Bigin pricing). You get one pipeline with customisable stages, contact, product and activity management, up to 3 automations, a standard dashboard with charts and KPIs, one web form and one booking page.

    You've outgrown it when:

  • You hit 500 records. Activities and notes count alongside contacts and deals, so 500 goes quickly for anyone logging calls and follow-ups. Express lifts the limit to 50,000.
  • You want to add a colleague. Free is strictly one user. Paid plans are priced per user, with no cap on team size.

  • You want your inbox and accounting connected. Email integration (Gmail, Outlook and Zoho Mail), WhatsApp Business, Google and Microsoft calendar and contact sync, Zoho Books, Zoho Invoice and QuickBooks integrations, and payment links all start at Express. That's a notably lower entry point for accounting integration than Zoho CRM, which needs its Professional edition to connect to Zoho Books.

  • You need more of everything. If you need to run separate pipelines for sales, onboarding and projects, need custom fields to capture specific data, or need more automation, it might be time to upgrade to a paid plan.

  • Zoho Books

    Zoho Books logo

How far you'll get: For Australian businesses turning over less than A$50,000 a year, Zoho Books' free plan is remarkably complete. You get 1 user plus your accountant, GST tracking and BAS generation, quotes, invoices, credit notes, recurring invoices, automated payment reminders, payment links and a customer portal (see Zoho Books Plans Comparison). Online payments work through Stripe, PayPal and GoCardless. Expenses, mileage tracking and 50 receipt autoscans a month are included, and free even connects to other Zoho apps and tools like Google Workspace, Microsoft 365 and Zapier.

    You've outgrown it when:

  • Revenue passes A$50,000 a year. This is the hard limit, and it arrives quickly for any business that's growing.

  • You're tired of importing bank statements. Automatic bank and credit card feeds start at Standard. On free, you import statements and reconcile manually.

  • Someone else needs access. Free is one user plus your accountant. Standard includes 3 users, with predefined user roles and transaction locking so you can control who changes what.

  • You need to track what you owe, not just what you're owed. Bills, vendor credits, purchase orders and sales orders all start at Professional, along with project time tracking and billing, multi-currency contacts, stock tracking and workflow automation.

  • Zoho Invoice

    Zoho Invoice logo

How far you'll get: Zoho Invoice is completely free: quotes, invoices, payment reminders, expenses, timesheets and a client portal. The current annual invoice limit is 500 (see Zoho Invoice).

You've outgrown it when: you need full accounting (BAS, bank reconciliation, a chart of accounts) or hit the invoice limit. At that point Zoho Books, or Zoho Billing for subscription businesses, is the natural next step.

    Zoho Desk

How far you'll get: Zoho Desk's free plan covers up to 3 agents working from one support email address, with incoming emails converted into tickets automatically (see Zoho Desk plan comparison). Key features include private comments, ticket history and tags, notification rules, 2 macros, a help centre with one web form and a feedback widget and a private knowledge base for your agents. That's enough for a lot of small businesses to move a shared support inbox into proper ticketing.

    You've outgrown it when:

  • You need a fourth agent. Free is capped at 3 users. Zoho Desk's entry paid plan, Express, allows 5, and Standard and above are unlimited.

  • You want tickets to route themselves. Free has no workflow rules or assignment rules. Express adds basic workflows and assignment rules, and Standard adds SLAs, time-based rules and more automation.

  • You need to capture your own data. Free has no custom fields or custom views. Express adds 10 custom fields per module.

  • You want Desk connected to your other apps. The Zoho CRM, Bigin and Zoho Books integrations start at Standard, so a free Desk account can't show sales or billing context alongside tickets.

  • A couple of admin limits are worth knowing too: free doesn't allow data imports or include backups, and support is by email only.

    Zoho Projects

    Zoho Projects logo

How far you'll get: Zoho Projects' free plan covers up to 3 projects with 5 GB of storage (see Zoho Projects plan comparison). You get tasks and subtasks, Gantt charts, finish-to-start task dependencies, reminders, custom statuses, project feeds, document sharing, calendars, forums and tags, plus one project dashboard and a predefined report for each module. There's light automation too, with 2 workflow rules per layout and up to 50 automation actions a month. Free connects with Zoho CRM, Bigin, Zoho Forms, Zoho Sign, Slack, Microsoft Teams, Microsoft 365, Google Drive and Zapier, and you can import existing work from Microsoft Project, spreadsheets, Jira or Basecamp. It works well for a small team running a few long-running projects.

    You've outgrown it when:

  • You need a fourth project. This is the most common trigger. Premium, Zoho Projects' entry paid plan, removes the project cap and lifts storage to 100 GB.

  • You need to track time or bill for it. Timesheets, time log approvals and project budgets all start at Premium.

  • You want Projects connected to your finance apps. The Zoho Books, Zoho Invoice, Zoho Expense and Zoho Analytics integrations start at Premium, and the Zoho Desk integration at Enterprise.

  • You repeat the same kinds of projects. Your own project templates, recurring tasks, task durations and custom views start at Premium.

  • You need to capture your own data. Custom fields on tasks, projects and milestones start at Enterprise, along with custom roles and the critical path.

  • Zoho Forms

How far you'll get: Zoho Forms' free plan gives one user 3 forms, 500 submissions a month and 200 MB of file storage (see Zoho Forms plan comparison). Within those limits it's surprisingly capable: multi-page, card-style and AI-generated forms, templates, basic conditional rules, save and resume, email and SMS notifications, a custom thank you page and CAPTCHA spam protection. You can embed forms on your website, share them by link or QR code, and even collect up to 10 payments through gateways like Stripe, PayPal and Square. Free also pushes submissions into Zoho CRM, Bigin, Zoho Desk, Zoho Books, Zoho Campaigns, Google Sheets and Excel, or anywhere else through webhooks and Zapier. Great for a contact form, an enquiry form and a feedback form.

    You've outgrown it when:

  • You need a fourth form or more submissions. Basic, Zoho Forms' entry paid plan, gives you unlimited forms and 10,000 submissions a month, with more storage.

  • You want forms that look like your brand. Custom themes, a custom domain in form links, a welcome page and redirection all start at Basic.

  • You need smarter forms. Advanced conditional rules, respondent edits after submission, translation, OTP verification and double opt-in start at Basic.

  • Someone else needs access. Free and Basic are both single-user. Collaborators, permissions, multi-level approvals and task assignment start at Standard, which includes 10 users.

  • Zoho Analytics

    Zoho Analytics logo

How far you'll get: Zoho Analytics' free plan gives 2 users 10,000 rows of data across 5 workspaces, with unlimited reports and dashboards (see Zoho Analytics plan comparison). You can load data from spreadsheets and files, cloud drives like Google Drive and OneDrive, and databases, then build from more than 80 chart and dashboard types. Data refreshes once a day, with up to 3 scheduled imports. Enough to test dashboards on a small data set.

    You've outgrown it when:

  • You want to connect your business apps. This is the big one. Free has no business app connectors, so it can't sync directly with Zoho CRM, Zoho Books, Zoho Desk, Xero or Shopify. Basic, Zoho Analytics' entry paid plan, lets you connect any 2 apps and adds their ready-made reports and dashboards. Standard opens up 50+ connectors.

  • Your data passes 10,000 rows. Rows are counted across every table, so real business data passes this quickly. Basic lifts the limit to 500,000 rows and Standard to 1 million.

  • You want reports delivered automatically. Scheduled email reports start at Basic, and data alerts at Standard.

  • You want to ask questions in plain English. Ask Zia's conversational analytics starts at Standard, with automated insights at Premium.

  • Zoho Campaigns

    Zoho Campaigns logo

How far you'll get: Zoho Campaigns' Forever Free plan lets up to 5 users manage 2,000 contacts and send 6,000 emails a month, which works out to three campaigns to your full list (see Zoho Campaigns pricing). You get list management, customisable signup forms, pre-designed templates, a drag-and-drop editor, HTML import and generative AI to help with writing, plus basic reporting. Free integrates with around 35 apps, including Zoho CRM, Bigin, Zoho Books, Zoho Desk and Zoho Forms. For a small business sending a monthly newsletter, that's plenty.

    You've outgrown it when:

  • Your list or send volume grows. Once you pass 2,000 contacts or want to send more than three campaigns a month, you'll need Standard. Paid plans are priced by contact count and include unlimited emails.

  • You want to schedule campaigns. Scheduling campaigns to send later starts at Standard.

  • You want automated journeys. Automated workflows, such as welcome series and follow-ups triggered by a form submission or list signup, start at Standard. Abandoned cart and purchase follow-up workflows start at Professional.

  • You want to target and test. Segmentation, A/B testing and file attachments start at Standard. Advanced segmentation, contact scoring, dynamic content and send-time optimisation start at Professional.

  • Zoho Cliq

    Zoho Cliq logo

How far you'll get: Zoho Cliq's free plan covers team messaging with unlimited one-to-one and group chats, organisation and personal channels, threads and announcement channels, with up to 100 people per group or channel (see Zoho Cliq plan comparison). You get 100 GB of file storage for your organisation, search across your most recent 10,000 messages, one-to-one audio and video calls, screen sharing, and meetings of up to 100 participants for up to 60 minutes. For a small team moving off scattered group chats and email threads, it's a solid free option.

    You've outgrown it when:

  • Meetings run long or need recording. Free meetings end at 60 minutes and can't be recorded. Standard extends meetings to 24 hours and adds call recording.

  • You want Cliq branded and managed properly. A custom domain, logo and custom email start at Standard. User roles, channel permissions, teams and Zoho Projects task integration start at Professional, which has a 10-user minimum.

  • Your chat history matters. Free search only reaches your most recent 10,000 messages. Standard makes every message searchable.

  • Zoho Vault

    Zoho Vault logo

How far you'll get: Zoho Vault's free plan is built for personal use, giving one person unlimited passwords, passkeys, storage and devices (see Zoho Vault pricing). It saves and autofills passwords through browser extensions and the desktop and mobile apps, generates strong passwords, and includes a security dashboard, offline access, audit trails, scheduled email backups and a built-in two-factor authenticator. You can unlock it without a master password using Zoho OneAuth, Windows Hello, Touch ID or a YubiKey. It's a great way for a business owner to get their own logins under control.

    You've outgrown it when:

  • You need to share passwords with your team. This is the key limit. Free Vault is a personal password manager, and secure sharing, one-time sharing with outside parties and inviting users all start at Standard.

  • You need admin control. User provisioning and roles, password expiry alerts, IP restrictions, cloud backup, user activity reports and Google Workspace and Microsoft 365 integration start at Standard.

  • You want shared folders and breach alerts. User groups, shared folders, breached password alerts and emergency break-glass access start at Professional, which has a 5-user minimum.

  • Frequently asked questions

Is Zoho completely free? No. Many Zoho apps have forever-free plans, but they come with limits on users, volume and features. Zoho Invoice is the main app that's free outright, subject to an annual usage limit.

Is Zoho CRM free for 3 users? Yes. Zoho CRM's free edition supports up to 3 users with no time limit and no credit card required. It's capped at 5,000 records in total and doesn't include custom fields or modules.

Is Zoho Books free in Australia? Yes, for businesses with annual revenue under A$50,000. The free plan includes 1 user plus an accountant, GST tracking and BAS generation, invoicing and bank reconciliation, but not automatic bank feeds.

Do Zoho free plans expire? No. Free plans are permanent as long as you stay within their limits. Free trials of paid plans do expire, usually after 14 or 15 days.

Do I need a credit card to use Zoho for free? No. Zoho's free plans don't require a credit card.

What happens to my data when I upgrade? Upgrading keeps your existing data. You move to the paid plan within the same app and account.

Can I get support on a free plan? Support on free plans is usually limited to email or self-help resources. Paid plans add phone and chat support, and a Zoho partner can help with setup and configuration.

    Outgrowing free Zoho?

It's tempting to stitch together a stack of free Zoho apps: free CRM, free Books, free Desk, free Forms. For a very small business, that can genuinely work for a while. But it has limits. A useful rule of thumb: when a free plan starts shaping how you work, rather than supporting it, it's time to look at paid options.
